About Citizen Link

Citizen Link is a private, independent constituency management platform designed to help citizens and political office teams coordinate requests and follow-ups. It is not a government agency. This policy should be read alongside the features and practices of the version of the platform you use.

01

1. Information We May Collect

Depending on the features you use, Citizen Link may process the following categories of personal information:

  • Account information: Your name, mobile number, and information used to register or authenticate your account.
  • Regional information: Constituency, mandal, or other regional details used to route requests to the appropriate office.
  • Grievance information: Issue descriptions, messages, follow-up details, status updates, and records submitted through the platform.
  • Attachments: Photographs, documents, or other media that you choose to submit with a request.
  • Location information: Location information provided or accessed when a feature requires it, such as when submitting a grievance with location details.
  • Technical information: Device, diagnostic, and usage information, where collected, to operate, maintain, secure, and troubleshoot the service.

The information actually collected depends on the features you use, your permissions, and the version of the service. We aim to collect information relevant to the purposes explained in this policy.

2. How We Use Information

Information may be used to:

  • Create, maintain, and authenticate user accounts.
  • Receive, route, manage, and follow up on citizen requests.
  • Facilitate communication between citizens and authorised office personnel.
  • Provide relevant service notifications and status updates.
  • Maintain platform functionality, investigate technical issues, and help prevent misuse.
  • Address disputes, protect the rights of users, and meet applicable legal obligations.

Personal information should be processed for an appropriate purpose and on a lawful basis, with any notice or consent required by applicable law.

03

3. Location and Media Permissions

Certain features may require location information to help identify the relevant area of a reported issue. Where device location access is used, it should be requested for the relevant feature and handled according to the applicable permission settings.

Photographs and other files you submit may contain personal information about you or other individuals. Please submit only information relevant to your request and avoid including unnecessary sensitive information.

You can manage device permissions through your device settings. Revoking a permission may affect the associated feature, but it does not automatically erase information previously submitted to the platform.

04

4. Sharing and Service Providers

Citizen Link does not sell or rent personal information. Where necessary for the purposes described in this policy, information may be shared with or processed by:

  • Authorised office personnel or coordinators who need relevant information to handle a submitted request.
  • Hosting, database, storage, authentication, communications, and other technical service providers that support the platform.
  • Competent authorities where disclosure is required by applicable law or a valid legal process.

Access to personal information should be limited to what is appropriate for the relevant purpose. Service providers may process information subject to applicable contractual arrangements and legal requirements.

05

5. Data Security

Citizen Link aims to use appropriate technical and organisational safeguards to protect personal information against unauthorised access, loss, misuse, alteration, or disclosure.

Depending on the deployed systems, safeguards may include encrypted connections, access controls, secure authentication, and restricted access to stored files.

No internet-based service can guarantee absolute security. Where a personal-data breach occurs, appropriate steps will be taken in accordance with applicable legal requirements.

06

6. Data Retention

Personal information may be retained for as long as necessary for the purpose for which it was collected, including providing the service, managing requests, maintaining relevant records, resolving disputes, and complying with applicable legal obligations.

Retention periods may vary depending on the type of information and the purpose for which it is processed. When information is no longer required, it should be erased or otherwise handled as required by applicable law.

Certain records may need to be retained where required or permitted by law. Where continued retention is necessary, the information should be handled appropriately and limited to the relevant purpose.
